Refunds, at the amount Shopify calculates

A return in Swapify+ is a real Shopify return. The refund is Shopify's own figure, confirmed by your team before it moves.

What the customer does

They open your portal, enter their email and order number, and see the items from that order. They choose how many of each to send back, give a reason, and attach photos if your policy asks for them. They are told, in plain words, not to post anything until you confirm — because an item that arrives before the return exists cannot be tracked against the order.

Items outside your return window are not offered. Neither are items already returned, or already sitting in another open request. The portal says which of those applies rather than silently hiding the line.

What your team does

The request arrives in the console with everything needed to judge it. Approve it and Swapify+ creates the return in Shopify against the correct fulfilment lines — which is not the same thing as the order lines, and getting it wrong is how returns end up unprocessable.

Then you settle it. Swapify+ asks Shopify what the refund is worth, shows you that figure, and waits for you to confirm it. If anything changes between the confirmation and the settlement, the confirmation is void and you are shown the new number instead.

Partial refunds and prior activity

Shopify remains the authority throughout, which matters most when somebody has already done something by hand. If a partial refund was issued in the Shopify admin, the amount Swapify+ offers to settle drops by exactly that much, because it is Shopify's arithmetic and not ours.

The same is true of an order that has been returned against before. A second or third return on one order is ordinary, and each one is sized against what genuinely remains.

What cannot happen

A refund cannot be issued twice for one request. Every write is claimed before it is sent, so two people pressing at once produce one refund and one clear message to the other person. If a call to Shopify never comes back, the app does not send it again — it asks Shopify what happened and records that.

And a request cannot be marked complete because this app believes it is. It closes when Shopify has processed the return.
